The clear planning module is indispensable

Belgian-based Toreon helps organizations protect their digital assets. There are continuously more than 250 ongoing projects, planning and monitoring them with the help of ionBIZ.

Cybersecurity is more important than ever. As an independent consulting firm, Toreon supports companies through customized security strategies, solutions and training. More than 50 people work there every day.

Jasper Hooft started working there seven years ago and has been head of operations for three years. He manages a project management team of five to six people, and is responsible for quality assurance, planning, follow-up and budget monitoring of the projects. "My day never looks the same," he outlines.

 

Overview needed for projects

Toreon saw the light of day in 2014, and almost immediately chose ionBIZ as its supporting tool.
"The well-organized and clear planning module is indispensable," Jasper states.

"We always have more than 250 ongoing projects here. Thanks to ionBIZ, we can easily distinguish and find these through clear project codes and colors. The search function allows you to find any project in two or three clicks. So if a question from a colleague or a customer comes in, we can switch very quickly."

"With ionBIZ, we can also divide our projects into different 'tasks' and 'subtasks', allowing all those involved to keep an overview of the time spent and the budgets with a view to detailed reporting and follow-up at all times. In this way, our project managers get an in-depth overview at all times of exactly what is happening, who is performing where and what stage of the project they are at."

 

Time recording is central

According to Jasper, the conversion of project planning to timesheets is also a major asset.

"In a consulting company like ours, time registration is central," he illustrates. "For our consultants, who are working on many projects, this poses quite a challenge with quite a bit of context switching. Without ionBIZ, we would not succeed. The ability to drag and drop and copy-paste all kinds of project data through the planning module, we already experience as a rather unique feature."

Jasper and his team say they are also set up with ionBIZ's new API.

"That one is really quite good," he echoes. "We built some dashboards for operational reporting ourselves in Microsoft Power BI. We feed those completely with all kinds of data from ionBIZ. Thanks to the new API, this can be done much more comprehensively and quickly. This allows us to automate certain tasks, which ensures that more quality can be delivered to customers.

Jasper also experiences the good contacts with the ionBIZ staff as a plus.

"For questions, the help desk responds quickly," he attests. "If no ready-made solution is available, they think along with us about a feasible workaround."

Fast and stable in the cloud

When Toreon chose ionBIZ's solutions at the time, Jasper was not yet working there. "But I would make the same choice today," he asserts. "Without this tool, my job would not be feasible. Since ionBIZ runs in the cloud, it is very fast and stable. We have seen a nice evolution over the past few years, and we are looking forward with great enthusiasm to further developments and new features."

In the near future, Jasper would like to explore some of the features already built in today. Such as the Gantt charts, which use horizontal time bars to show the different parts of projects. "Since we sell licenses ourselves, we are also currently already exploring the possibilities of the 'items'," says Jasper. "And in terms of e-invoicing, we are looking forward to the announced Peppol integration."
