In this Statement, we reveal the personal information we collect and maintain from you, and how we use and process that information. We also explain how we handle cookies and what it means when you use our software products.
This Statement covers your visit to ionBiz websites, all communications between you and ionBiz, and ionBiz software products.
Our privacy policy aims at the best possible protection of your data, and this according to the regulations of the GDPR (General Data Protection Regulation) or AVG (Algemene Verordening Gegevensbescherming) which is in force from May 25, 2018 within the EU member states.
Collection of personal data
We collect information relating to you, directly and indirectly. The purpose of this data is to improve its accuracy as well as to better tailor our contacts to you.
You may opt to provide your personal data directly to us. This occurs in the following situations, among others:
- You want to communicate directly with us- You wish to receive an offer
- You want to become a customer
- You are using our services
- You need support
- You make a payment for our products and/or services
- You want to become a supplier
- You want to become a business partner
- You are applying for a job
- Customer satisfaction surveys via InMoment
- If you let us know that we may only use this information to process your request, we will respect this request.
Customer satisfaction surveys via InMoment will only process relevant personal data (e.g. email address and your responses). The data will be kept for a maximum of 3 years and only used to improve our services. InMoment acts as a processor on behalf of ionBiz and acts in accordance with the GDPR.
We may also collect relevant information in other ways.
- For example, while using our websites, we collect information regarding your IP address, the location from which you visit us, the time You spend on our website and the pages You view. We collect this data with the intent of improving your experience on our websites and to scale our visitors.Finally, we may acquire information related to you through third parties. In this case, we will ask the information providers for the necessary legal guarantees in order to use the obtained data.
Use of personal data
Your personal data may be used for various purposes. Below is a list of these.
Processing your request
If you have made a request to us regarding our products and/or our services, we will use the information you provide to process this request. If it is relevant for handling your request, we may exchange data with third parties such as business partners.
Delivery of products and/or services
If you enter into an agreement with us regarding our products and/or services then we use the information you provide for the follow-up and execution of this agreement.
We may also use your information in function of the following situations.
- Invoicing of our products and/or services- Collection of payments
- Provision of support
- Provision of information
We may need to exchange your relevant information with third parties for this purpose.
Marketing
Information gathered directly or indirectly may be used for targeted marketing regarding our products and/or services. You can indicate at any time that you no longer wish to receive marketing material from us. Consequently, we will respect this wish.
Statistics
We may use your information for statistical purposes. In doing so, we will use the data to conduct an internal study on the specific needs of a target group or geographical market. These statistics are purely for internal use in order to optimize our services and sales.
Applications
If you apply for a job with us, you will provide us with the necessary information about yourself, for example your resume. We will use this information internally to follow up and process your application. Upon request, after the position has been filled, we may delete this information.
Sharing personal data with third parties
We do not share your personal data with third parties except in the following circumstances:
- You give us permission to disclose your data.- For legal reasons: Pursuant to a court order or proceeding, we may be forced to disclose your data to judicial, police or other governmental authorities.
If our rights are harmed and/or need to be protected, or those of any of our business partners, suppliers or customers, we may make your information available to our lawyers and/or to any of the relevant authorities.
- In the event of an acquisition of ionBiz or a (partial) sale of it, the data may be made available to possible acquirers and/or buyers
Our products contain links to third-party products. When you provide personal data to one of these products, it is subject to the privacy policy of the respective product.
If we transfer your information outside a member of the EU states, we will comply with applicable laws.
Personal data security
We reasonably provide the necessary physical, administrative and technical measures to protect your personal data from unauthorized access, misuse or unwanted disclosure.
For example, we encrypt certain personal data when we transmit it over the Internet. Passwords that you use to sign in to any of our products are kept encrypted in the database.
Even though we take the necessary security measures, we can never guarantee absolute security.
ionBiz as data controller
ionBiz data disposal policy:
Personal data will be deleted when it is no longer necessary to process the personal data to achieve the purpose for which it was collected, no later than 3 years after the last recorded activity. Exceptions are possible if there is a legitimate purpose for processing the data longer than 3 years.
ionBiz as a data processor
ionBiz data removal policy:
The GDPR states that data will be deleted without delay when the customer has terminated their contract with ionBiz. Our policy is that data will be deleted no later than 6 months (preferably earlier) after termination of the customer contract, unless otherwise agreed with the customer.
